This Privacy Policy describes how the Booking Planner application (“Booking Planner”), developed and provided by JFDI Consulting Ltd, processes and protects personal information.

Booking Planner is a SharePoint Framework (SPFx) solution designed for use within Microsoft 365 environments. This Privacy Policy applies specifically to the Booking Planner application and its associated services, not to the JFDI public website or unrelated products.

Information we collect

Booking Planner uses Microsoft 365 and SharePoint Online as its underlying data platform. The app does not collect personal data beyond what is stored in your SharePoint lists and Microsoft 365 tenant. All data remains within your organisation’s Microsoft 365 environment unless explicitly connected to our licensed SaaS service for activation or licensing validation.

Personal information may include:

  • User names, emails, or IDs associated with bookings
  • Booking data stored within SharePoint lists (date, time, desk or room, attendees)
  • QR check-in records (booking reference, check-in timestamp, signed-in user)
  • Floor-plan metadata (room names, capacities, equipment, owners)

How we use information

Booking Planner reads and writes data only within your organisation’s Microsoft 365 tenant. Data is processed solely to:

  • Display the floor plan and list views
  • Compute real-time availability against current bookings
  • Record bookings and cancellations in the underlying SharePoint list
  • Process QR check-ins and surface utilisation reports
  • Validate licensing through the connected SaaS service

No data is sold, shared, or transferred to third parties.

Data storage and security

All data is stored within your Microsoft 365 tenant. Booking Planner relies on Microsoft’s built-in security, compliance, and permission models. JFDI Consulting Ltd does not have access to your tenant’s data unless explicitly granted for support purposes.

User permissions

Booking Planner respects your SharePoint site permissions. Users can only book or cancel where they have rights; the admin panel and reporting surfaces respect the same permissions.

QR check-in data

The QR code encodes only the desk identifier and the tenant. Check-in events are recorded in the same SharePoint list that holds bookings, against the signed-in user. No biometric, location, or device data is captured by Booking Planner during check-in.

Your rights

Because Booking Planner stores all information in your Microsoft 365 tenant, your organisation maintains full control over data retention, deletion, and export. You can remove Booking Planner at any time without affecting any underlying data.
